Before we dive into planning the pretty details of your balloon décor, custom backdrop, or full event styling, here are a few important guidelines that help everything run smoothly. Whether you’re booking a balloon garland in Buffalo, NY, a luxury backdrop rental, or a full-service event installation, these policies ensure clarity, communication, and a shared understanding of what to expect from start to finish.

They’re designed to protect your time, your investment, and the quality of service I’m proud to provide for weddings, showers, birthdays, corporate events, and celebrations throughout Buffalo and surrounding areas. Taking a moment to review them now allows us to begin your booking with confidence — and move straight into creating something beautiful, seamless, and unforgettable for your event.

booking policies

These booking policies provide a general overview. Clients will be asked to review and sign our full Event Decoration Services Agreement with complete terms before confirming services.

1. Minimum Investment

Our Buffalo balloon and event décor services begin at:

• Full-Service Installation – $250
• Delivery Only – $140
• Grab & Go Pickup – $108

All minimums are before delivery fees and sales tax.
Delivery rates are based on mileage throughout Buffalo and surrounding areas.

Promotional items or sale pricing do not apply toward minimum spend unless stated.

2. Securing Your Date

• A 50% non-refundable retainer secures your event date and installation or pickup window.
• Your date is not confirmed until the retainer is received.
• Full-service bookings include scheduled teardown timing at booking.

We highly recommend booking early, especially during peak wedding and graduation season in Buffalo.

 

3. Design Previews & Mockups

• Sketches available upon request after retainer.
• Digital mockups: $30.

Previews provide a general sense of design direction and color palette. Final installations may vary slightly in scale, placement, or balloon shade due to materials, venue conditions, and availability.

 

4. Final Payment

• Final payment is due a minimum of 5 days before installation, delivery, or pickup.
• Late fee: $50.
• Services will not be provided without full payment.

Events booked within 7 days may require full payment upfront and may incur rush fees.

 

5. Delivery, Installation & Teardown

• 15-minute arrival window for installs and breakdown.
• Late-night teardown after 9 PM: $100 fee.
• Teardown after midnight: $200 fee.
• Strike or disposal fees may apply for large installations or off-site removal.

If events extend beyond scheduled timing, additional service fees may apply.

 

6. Grab & Go (Pickup)

Grab & Go balloon garlands and décor must fit safely in the client’s vehicle.

Once picked up, responsibility transfers to the client. Fête is not responsible for damage, popping, weather exposure, or transportation-related issues.

 

7. Rentals & Equipment

All rental items and specialty décor remain the property of Fête.

Rentals are delivered and retrieved by Fête unless otherwise stated.
Clients are responsible for loss, theft, or damage to rental items during the event period.

Extended rentals may incur additional daily fees.

 

8. Rescheduling, Cancellations & Adjustments

Rescheduling or cancellations may be accommodated depending on availability.

• Please notify Fête at least 2 weeks prior to your event.
• New dates must be selected within 2 weeks of notice and may be chosen up to 1 year out, subject to availability.
• Rescheduled events must remain within the original décor scope, with minor adjustments permitted when possible.

Cancellations within 2 weeks of the event may result in forfeiture of payments made.

 

9. Balloon Care & Outdoor Installations

Balloons are sensitive to heat, cold, direct sun, and handling.

Outdoor balloon décor in Buffalo should be placed in shaded areas whenever possible. Longevity cannot be guaranteed once installations are complete or items are transported.

Weather-related damage after setup is not covered.

 

10. Photography & Sharing

Fête may use photos or videos of completed installations for portfolio, website, and social media unless requested otherwise in writing prior to the event.

All custom balloon designs and styling concepts remain the intellectual property of Fête.

 

11. Client Responsibilities

Clients are responsible for:

• Providing accurate venue access and setup details
• Securing necessary installation permissions
• Communicating venue restrictions (anchors, ladders, tape limitations, etc.)
• Remaining reachable on event day

Installations should not be moved once placed. Safety around décor is the responsibility of the client and venue once installation is complete.
